The One AI Use Case Service Businesses Should Pay For First

Entrepreneur ranked the top 10 ways small businesses use AI, and for service businesses I keep coming back to one combination: paid ads plus AI text based reception and follow up.

A man seen from the side concentrating at his desk in a small office.

You run a dental office, a clinic, or a trades company. Every email in your inbox says AI will change everything, and every vendor wants to sell you some version of it. Your real problem is more boring: leads come in from your ads, and too many of them never hear back fast enough to become customers.

What Entrepreneur reported

This week Entrepreneur, the business news publication, published a ranking of the top 10 ways small businesses are using AI right now. The ranking is built on data from Fiverr, an online marketplace where businesses hire freelancers for individual projects.

The useful part of a list like this is where it comes from. It reflects what small businesses are actually doing with AI, which beats another pitch about what AI might do someday.

My take: use case is everything

Lists like this get read, bookmarked, and forgotten. My take is that none of the entries matter until you ask one question: which specific job in my business will this do, and what is that job worth in revenue? Owners who buy the tool first and look for the job later end up with subscriptions they cancel after three months. Owners who start with a job that is costing them money, then find the tool for that job, see the return.

For service businesses, one job costs more than any other when it goes undone: answering new leads fast and following up when they go quiet.

The combo I keep recommending: paid ads plus AI text reception

AI text based reception is software that replies to incoming texts, missed calls, and form fills by message. It asks the same qualifying questions your front desk would ask, then books the appointment. Follow up means it keeps messaging a lead who stopped responding until they either book or say no.

Pair that with paid ads and you have the strongest pairing available to a local service business right now. The way I see it, paid ads are a speed game. The person who clicked your Google ad for an emergency plumber or a same week dental appointment expects an answer in minutes. Your technician is under a sink. Your front desk is checking in a patient. The lead calls the next name on the page.

In my experience from managing multiple millions in ad spend across Google and Meta over the past decade, the response gap kills more campaigns than bad targeting ever does. Owners blame the platform when the clicks were fine and the follow up was the problem. AI text reception closes that gap because it answers every lead within seconds, at 9 pm on a Tuesday and during the lunch rush, and it never forgets the lead who said maybe.

The math is simple. Say your ads bring in 50 leads a month and you currently book 15. If faster response and consistent follow up turn that into 20 or 22 bookings from the same spend, your cost per customer drops without touching the ad account. That is why I call this a combo. Each half makes the other half worth more.

Where I see owners waste AI money

AI that writes your social captions will not move revenue for a plumbing company, because nobody picks a plumber off a Facebook caption. AI that drafts a logo saves a few hundred dollars once. Those are fine purchases, they are just small jobs with small payoffs.

My bet is that for a local service business, no AI use case comes close to lead response in dollars returned, because it sits directly between your ad spend and your booked jobs. I expect most owners trying AI this year will start with the small jobs because they are cheap and easy. Start with the job that touches revenue.

How to prepare your business

1. Send a test enquiry through your own website and count the minutes until a human replies.

2. Connect an AI text reception tool to your missed calls and website forms this week, even a basic one.

3. Write out the exact qualifying questions your best receptionist asks and load them into the tool word for word.

4. Track booked appointments per month before and after, so the decision runs on numbers.
